Because your experience abroad is primarily and academic endeavor, there are some things you should carefully consider. If for some reason you are unable to find answers to your questions below, check the Study Abroad Policies and Procedures booklet you received during orientation. Once you return from your study abroad experience, there are some very important steps that must be taken to ensure that your grades and courses are transferred correctly to your St. Thomas transcript.

Receiving Credit

Students approved by Study Abroad to study on co-sponsored programs abroad are guaranteed elective credit for their course work as long as a passing grade (D or better) is received for the work. 

Seeking Course Approvals from Abroad

Once students arrive on site they may find courses that they did not have pre-approved will fulfill major, minor or core requirements.  In these cases students may contact the appropriate department chair, their Study Abroad advisor or they may email to start the approval process.

Once your grades are posted, you should confirm that they applied to your degree evaluation correctly, as per your Course Approval Record form. If a course is not applied correctly toward your degree, please contact the Registrar's Office to follow-up at or ext. 2-6700. When contacting the Registrar's Office, please make sure to have your copy of the course approval available as they may request another copy.

If you did not obtain course approvals prior to departure, the courses will be posted as elective credit and you will need to complete a Course Approval Record form; available from the Office of Study Abroad.

Program Transcripts

Students are responsible for requesting that a copy of their transcript be sent to be sent from their program or university abroad to:

Approximately six to eight weeks after your program ends, you should check your St. Thomas transcript to see if your grades have been posted.  If they are not posted, you should:

  • Check with the Registrar's Office to see if they've received a transcript from your program.  You can reach the Registrar at or ext. 2-6700. The Registrar's Office is typically very prompt in posting study abroad courses and grades.
  • If the Registrar's Office has not received your transcript, you should contact your program directly and inquire as to when transcripts are typically sent.  If required, request that a transcript be sent to Admissions at the address above. The Study Abroad staff cannot request transcripts on your behalf.


If you feel that there is a mistake in your grades, you will need to contact your program directly. St. Thomas will post the course and grade as it appears on your official transcript from the program and cannot make any changes. Once the grade error has been corrected, it is your responsibility to ensure that an updated transcript is sent to St. Thomas.

S-D-R Grading Option (pass/fail)

If a student wishes to  take a S-D-R grading option;  the course cannot be taken to satisfy any core curriculum requirement, no more than 1/8 of the courses taken at St. Thomas may be taken on the S-D-R grading option, Students must complete an S-D-R option form and submit it to the Office of Study Abroad within five weeks of the start of the student's semester abroad.
